This role is integral to the team as you will be the go-to person in the office and no two days are the same. It’s essential to have excellent communication and organisation skills as you will create key relationships within the team as well as externally with suppliers and other partners. You will be comfortable with our all hands on deck approach and get involved across the company when required.

The Workplace Coordonator will report directly to the Senior Director of Workplace Experience at Zynga and be part of a global workplace family.

Responsibilities 

  • Ensue our office remains awesome throughout the day and works seamlessly for everyone.
  • Act as a key point of contact for communications with the WPS team, reporting and prioritizing any issues, passing reactive work to the right member and engaging contractors,  tracking and managing the tasks to resolution.
  • To be the first point of contact for all operations in the office. 
  • Ensuring issues are proactively found, allocated, prioritized, and fixed with efficiency.
  • Oversee the day to day operation of Workplace Services support teams and services such as cleaning, waste and drink services, ensuring a high standard of service at all times.
  • Keep trackers and management systems up to date and produce reports for the WPS team and other support teams when required.
  • Assist with the procurement, administration and coordination of Workplace Services.
  • Produce and coordinate facilities information and documentation in line with company requirements.
  • Support the management of Health and Safety and compliance alongside the Safety team. 
  • Undertake any ad-hoc duties within reason to maintain the building and facilities.
  • Planning and organizing amazing team building activities, outings and events
  • Providing support to the CFO and COO when required.
  • Coordinating, and booking travel for the team. 
  • Liaise and supervise the kitchen team to assist in delivering our first class catering service
  • Oversee our I.T. equipment and report issues with I.T. support when required. 
  • Acting as the go-to person for ad hoc team requests and relaying necessary information to the relevant team. 
  • Partner with the building management and landlords ensuring their services and maintenance is completed.
  • Maintain effective relationships with vendors to ensure a high standards of service within our desired budget.
  • Ensure maintenance compliance is completed as per the schedule and the office is safe for all.

Qualifications/Experience

3+ years' experience working within a Facilities or Workplace Operations role, ideally supporting complex buildings and services.

Skills

  • Experience in overseeing service contracts.
  • A good understanding of current safety legislation and best practice.
  • A detail oriented, flexible self-starter with strong initiative, excellent organizational and multitasking skills.
  • Planning and project management skills with the ability to consider things from multiple angles.
  • Process driven, but outcome focused, and always looking for quality improvement and ensuring they are documented accurately.
  • Capable of working autonomously, managing, and prioritizing their own workload and understanding when and where to seek guidance and approval.
  • Experience in an overlapping business support fields, e.g. IT, Administration, Operations.
  • Excellent communication (written and verbal).
  • Creative problem-solving skills.
  • Enthusiasm and the ability to create a sense of fun and motivate a team whilst upholding standards and maintaining discipline.
  • Proficient with Microsoft Office (Outlook, Word and Excel).
  • Sound numerical skills and IT skills.
  • Can-do and positive attitude, with a hands on approach.
  • Someone who can build authentic relationships easily with all levels of stakeholders
